Shopify Returns: Create, Receive and Refund a Return

Shopify handles returns inside the admin: you create a return on the order, give the customer a label or shipping instructions, and when the items come back you process the return, which ends in a refund, a payment to collect, or an even exchange. The order of those steps matters, because a refund issued without a return records no return reason, and once an item is refunded you can no longer create a return for it.
Steps and rules come from the Shopify Help Center pages on returns, creating returns and exchanges and refunding orders (read October 23, 2026).
Return, refund, exchange: three different actions
Shopify separates three actions inside a return:
- Return: the item comes back to you, optionally with a return label and tracking.
- Refund: money goes back to the customer, in full or in part.
- Exchange: the customer gets a different item (another size or color) as part of the return.
A return can include a refund and an exchange, or neither: a damaged item you tell the customer to keep is a refund without a return. Your written policy decides which you offer; our guide to the Shopify return policy covers the wording and the return rules behind it.
Create a return
You can create a return only for items that are fulfilled and not yet refunded. To create returns you need to be the store owner or have the Return staff permission.
- Go to Orders and open the order.
- Click Return, or More actions > Return if part of the order is still unfulfilled.
- In Select quantity to return, enter how many of each item come back.
- Choose a Return reason. The reasons depend on the product category: apparel offers Too big and Too small, other categories have their own. The same reasons appear in POS and self-serve returns, and you can analyze them later.
- Check the fees. The Restocking fee and Return shipping come from your return rules; click either in the Summary to change it for this return (restocking fees can also be changed per item).
- Optional: add exchange items under Exchange items > Add products, with a product discount if you want to waive a price difference.
- Under Return shipping options, choose one:
- Create a return label in Shopify: only when you have a location in the same country as the customer, and that country is the United States or Canada.
- Upload a return label: a PDF, PNG or JPEG, or a label URL, with an optional tracking number and carrier.
- No shipping required: for returns without shipping, such as a customer bringing the item to your shop.
- Click Create return.
The customer then sees the estimated refund, or for an exchange the estimated balance, based on your rules. Return labels and who pays for them are covered in our guide to return shipping labels.
Receive and process the return
When the parcel arrives, inspect the items and process the return on the order. Shopify calculates the financial outcome for you: return fees and exchange items are set against the returned items, and the result is one of three situations.
| Situation | Outcome | What you do |
|---|---|---|
| You owe the customer (plain return, or the exchange item costs less) | Refund due | Process the return and issue the refund, now or later |
| The customer owes you (the exchange item plus fees costs more) | Payment due | Process the return, then send an invoice, capture payment, or mark the order as paid |
| Same value | Even exchange | Process the return; the money paid for the returned items covers the new ones |
Three details from Shopify’s notes that save mistakes:
- You can process items separately, but the result can change. Processing only the exchange half of a return might show a payment due, even though processing everything together would end in a refund. If you will need to collect money, avoid refunding during a partial process.
- Fees are not deducted automatically (return rules). Return shipping and restocking fees are shown, but when you create the refund you deduct them yourself; the refund page lets you edit the Refund amount.
- Refunds cannot be reversed. If you refund by mistake, Shopify’s advice is to create a draft order and collect the payment again.
When you refund, you choose the original payment method, store credit, or both; you can restock the items (on by default when inventory is tracked) and decide whether to send the customer a notification. Shopify Payments does not return the card fees of the original order. The full refund screen, partial refunds and store credit are explained in refund an order in Shopify.
After processing, the order total shows any remaining balance and the return appears in your sales reports.
Exchanges
Exchanges run through the same return screen, with a few limits:
- Custom items cannot be exchange items.
- Exchange items are not reserved in inventory until you process the return, so a last unit can sell to someone else in the meantime. If stock is tight, process quickly or set the item aside.
- Orders with duties can be returned, but cannot have exchange items added.
- Order-level discounts do not apply to exchange items; product discounts do.
- Exchange items are taxed by the order’s current shipping address.
- On Shopify Plus, the exchanges feature is activated through feature test drive.
Customers in an exchange get an email listing what is returned and what is sent. If they owe a difference, they can pay after you process the return, and you can send the invoice then or later from the order. Remember to fulfill the exchange items like any other order.
Let customers request returns themselves
Instead of creating every return yourself, you can turn on self-serve returns and cancellations, so customers request a return from their order status page and only eligible items (by your return rules) can be requested. Your return rules still apply to returns you create manually, even if self-serve is off. Setup and approval are covered in self-serve returns; the rest of the series is in the shipping and returns hub.
FAQ
Does Shopify handle returns? Shopify lets you create returns, send return labels or instructions, and process refunds and exchanges from the order page in the admin. Customers can also request returns themselves if you turn on self-serve returns.
Should I refund first or create a return first? Create the return first. A refund without a return records no return reason, and Shopify does not let you create a return for items that are already refunded.
Can Shopify create return labels? Shopify creates return labels when you have a location in the same country as the customer and that country is the United States or Canada. Elsewhere you can upload a label from your carrier or send instructions.
Who can process returns in my store? The store owner, or staff with the Return permission, can create returns. Issuing the refund needs the Refund to original payment or Refund to store credit permission, depending on the method.
