Running an e-commerce business on Shopify is incredibly rewarding, but let’s be honest, it can also be incredibly demanding. As my store grew, I found myself spending an increasing amount of time on repetitive tasks: updating spreadsheets, sending follow-up emails, managing inventory alerts, and so much more.
I quickly realized that if I wanted to scale my business without scaling my workload exponentially, I needed a better solution. I needed automation. That’s when I discovered Zapier, and it truly became a game-changer for my Shopify operations.
So, what exactly is Zapier? In simple terms, it’s an online automation tool that connects your favorite apps, like Shopify, Gmail, Google Sheets, Mailchimp, and hundreds of others. It allows you to automate repetitive tasks without needing to write a single line of code.
The core concept behind Zapier is straightforward: ‘If This, Then That.’ You set up a ‘Zap’ which consists of a ‘Trigger’ (an event in one app) and an ‘Action’ (a resulting event in another app). When the trigger happens, Zapier automatically performs the action.
For my Shopify store, this meant I could finally stop manually moving data between apps and let Zapier do the heavy lifting. It freed up countless hours, allowing me to focus on product development, marketing strategy, and customer engagement – the things that truly drive growth.

You’ll connect your Google Sheets account and select the specific spreadsheet and worksheet where you want the new order data to appear.
This is where the magic happens: ‘Mapping the Data Fields.’ You’ll see fields from your Google Sheet (like ‘Order ID’, ‘Customer Name’, ‘Total Price’) and you’ll match them with corresponding data points from your Shopify trigger (e.g., ‘Order ID’, ‘Customer Name’, ‘Total Price’).
Once you’ve mapped all the relevant fields, you’ll test the Zap. Zapier will send a test order to your Google Sheet to ensure everything is working correctly. If it looks good, you simply turn the Zap ‘On,’ and it starts working automatically.
One of my absolute favorite Zaps is a multi-step one: When a ‘New Paid Order’ comes into Shopify, Zapier first creates a new row in my Google Sheet, then it sends a detailed notification to a specific Slack channel for my fulfillment team, and finally, it adds the customer’s email to a segmented list in my email marketing platform.
Another powerful Zap I rely on is connecting new Shopify customers to my email marketing platform. When a ‘New Customer’ is created in Shopify, Zapier automatically adds them as a subscriber to my Mailchimp audience, ensuring they receive my welcome series and future marketing communications.
Here are a few tips for success that I’ve learned along the way: Always start simple. Don’t try to automate your entire business on day one. Pick one repetitive task and build a Zap for it. See how it works, then expand.
