Shopify Virtual Assistant: Hire a VA or Use Sidekick?

A Shopify virtual assistant is a remote helper who takes routine store work off your hands: product listings, order follow-ups, support emails, catalog clean-up. The term now also covers AI, and Shopify’s own Sidekick in the admin does part of that work for free. Write down your weekly tasks, give Sidekick the ones it can do, and hire a human VA for the rest, with their own staff account and only the permissions their tasks need.
Shopify facts come from the Help Center pages on Sidekick, account security and plan features, read on October 23, 2026.
Tasks a Shopify VA can take over
Start with a week of notes: every store task you did, how long it took, and whether it needed your judgment. The tasks below are the usual candidates. The permission column matters as much as the task, because it is what you will switch on for the VA.
| Task | How often | What the VA needs access to | Hand over first? |
|---|---|---|---|
| Answering “where is my order” and return emails | Daily | Orders, customers, the support inbox | Yes, with written answers to copy |
| Live chat in Shopify Inbox | Daily | Inbox; products, discounts and customers permissions to share links and codes | Yes, once the answers are written |
| Uploading new products | Weekly | Products | Yes, with a product template |
| Fixing product data (tags, types, SEO titles) | Weekly | Products | Yes |
| Processing and fulfilling orders | Daily | Orders, fulfillment | After a trial period |
| Draft orders for phone or wholesale customers | As needed | Draft orders, customers | After a trial period |
| Creating discount codes | Per campaign | Discounts | Only with your sign-off per campaign |
| Installing or removing apps | Rarely | Manage and install apps and channels; Approve app charges | No, keep this yourself |
| Payouts, plan, billing | Rarely | Billing permissions such as View billing and receive billing emails and Manage app billing | No |
The first three rows are the classic VA jobs: frequent, repetitive and easy to check. The last two are where a mistake costs money, so they stay with you.
What Shopify Sidekick does without a VA
Sidekick is the AI assistant inside your Shopify admin, on desktop and mobile. You ask it in plain language, by text, voice or screen sharing. Shopify lists these jobs:
- Analyzing your store’s data and answering questions about it.
- Managing orders and editing products.
- Writing content: blog posts, product descriptions and images.
- Working with third-party apps you have installed, to answer questions and complete tasks.
- Generating small custom apps for store management.
Sidekick shows its changes for your review before applying them. For long tasks it keeps working in the background after you close the chat and notifies you when the result is ready. If you repeat the same request, save it as a skill and rerun it with a shortcut.
That covers a good part of the “Uploading new products” and “Fixing product data” rows, with you approving each change. What Sidekick does not do is sit in your support inbox through the day, call a supplier, or decide how to treat an angry customer. Shopify Inbox’s AI agent covers some chat questions on the storefront; our guide to a Shopify customer service chatbot explains where it stops.
Give a VA access without giving away your store
Shopify’s security guidance is direct: never share your login credentials with anyone, including staff, and add staff members to the store instead. A VA with your owner login can change your payout bank account. A VA with a staff account can do only what you allowed.
- Check your plan’s staff limit. The Basic plan includes no additional staff accounts, Grow includes 5, Advanced 15 and Plus unlimited. Collaborator accounts (used by Shopify Partners such as agencies and developers) and POS-only staff do not count toward the limit. On Basic, a freelance VA who is not a Shopify Partner cannot get their own account until you change plans.
- Add the VA as a staff member in your admin settings. They create their own credentials.
- Turn on only the permissions from your task table. For chat in Shopify Inbox, for example, Shopify names the Products, Customers, Discounts and Draft orders permissions. Leave app management, app charges and finance off.
- Ask them to turn on two-step authentication. Shopify recommends it for every staff account; it is required on the owner account to use Shopify Payments.
- Review after the trial month. Remove permissions they never used.
- Remove the account on the last day of the contract, and change any shared passwords for outside tools (email inbox, supplier portals) the same day.
How to hire a Shopify VA
- Where to look. VA agencies that specialize in ecommerce, freelance marketplaces, and Shopify Partners. For theme or app development you need a different kind of help; see the Shopify Experts marketplace.
- Price. Agencies quote per hour or per month for a set number of hours. Ask for both, and for what happens to unused hours.
- A paid trial task. Give each candidate the same job on a copy of your real work, for example ten product listings from supplier sheets, and compare the results line by line.
- Written procedures first. A one-page document per task: where it starts, what “done” looks like, which saved replies to use, when to ask you. A VA without written procedures will do the task the way they did it for the last store.
- A weekly check. Fifteen minutes reviewing a sample of their orders, emails and product edits catches mistakes before customers do.
If support is the main task, compare a VA with a support agency in our guide to customer service outsourcing.
Mistakes to avoid
- Sharing the owner login “just for setup”. Shopify’s guidance says never, and the account stays exposed long after setup.
- Handing over a task without a written procedure, then correcting the same mistake every week.
- Letting a VA change prices or publish discounts without a review step. A typo in a price goes live on every product it touches.
- Forgetting the outside tools. The VA’s staff account is closed, but they still know the support mailbox password.
Building a larger team is covered in build your ecommerce team, and the running a store hub has more on daily operations.
Frequently asked questions
What does a Shopify virtual assistant do? A Shopify VA handles routine store work remotely: customer emails and chat, product uploads and data clean-up, order processing and simple reports. You decide the tasks and limit their access through staff permissions.
How much does a Shopify VA cost? It depends on the country, the agency and the hours. Agencies usually quote an hourly rate or a monthly package of hours, so ask for both and compare the cost of the tasks in your list.
Can a VA see my payouts and billing? Only if you give their staff account those permissions. Keep finance, billing and app charges off for a VA, and never share your owner login.
Is Sidekick a virtual assistant? Sidekick is Shopify’s AI assistant in the admin. It can analyze data, edit products, manage orders and write content, always showing changes for your review, but it does not watch your inbox or talk to customers the way a human VA does.
