Shopify Customer Service Outsourcing: Costs and Setup

To outsource Shopify customer service, hand the agency the questions that follow written answers (order status, returns, sizing, simple product questions), keep refunds above a limit and angry escalations in-house, and give the agency’s agents their own staff accounts with only the permissions their work needs. Agree a response-time target and a satisfaction measure before day one. These rules decide what customers experience, whatever price model the agency uses.
Shopify facts come from the Help Center pages on customer service, Shopify Inbox setup, quick replies, account security and plan features, read on October 23, 2026. MITS sells no support service.
Signs it is time to outsource
- Support messages arrive faster than you answer them, and replies slip from hours to days.
- Your customers write in hours when nobody on your team is awake.
- You answer the same five questions every day, and they keep you from buying, product work or marketing.
- Peak season (a launch, Black Friday) multiplies messages for a few weeks a year.
If only the last one applies, a seasonal contract or a temporary helper may be enough.
What to hand over and what to keep
| Hand over | Keep in-house |
|---|---|
| “Where is my order?” with tracking links | Refunds above an amount you set |
| Returns and exchanges that follow your policy | Exceptions to the policy |
| Pre-sale questions answered from product pages and FAQs | Complaints that could become a chargeback or a public review |
| Address changes before fulfillment | Wholesale and B2B customers |
| Discount code problems | Anything about payouts, billing or your apps |
| Chat during the hours you are offline | Product decisions, such as discontinuing an item |
Shopify’s own customer service guide puts it in one line: when a problem has a simple solution, such as a refund request that meets your store policies, you can offer the solution quickly. Those are the messages to hand over first, once the policy is written down.
Pricing models
Outsourcing companies charge in three ways:
- Per hour or per agent, for a dedicated or shared agent covering agreed hours.
- Per ticket or per conversation, so the bill follows your volume.
- A monthly package of hours or tickets, with a rate for anything above it.
Ask for a quote in two models for the same month and compare them on your busiest month, not an average one. Ask too whether the agency brings its own helpdesk or works in yours, and who pays for the seats.
Set up access in Shopify
- Check your plan’s staff accounts. Basic includes no additional staff accounts, Grow 5, Advanced 15 and Plus unlimited. Collaborator accounts and POS-only staff do not count toward the limit. An agency of three agents on Basic needs a plan change, or works only in a helpdesk app outside the Shopify admin.
- One staff account per agent. Shopify’s security guidance says never share your login credentials, including with staff; add staff members instead, so each person has their own credentials.
- Permissions per task. To answer chats in Shopify Inbox, Shopify lists the Products, Customers, Discounts and Draft orders permissions. Manage and install apps and channels is only needed for people who manage the chat apps connected to Inbox. Only users with all permissions can change chat availability, so you keep control of the hours.
- Two-step authentication on every agent account. Shopify recommends it for staff, and requires it on your own account to use Shopify Payments.
- Remove accounts the day a contract ends, and change passwords for outside tools the team used, such as a shared mailbox.
If the agency works in a helpdesk such as Gorgias, Zendesk or Re:amaze, they need seats in that tool, and the helpdesk connects to Shopify through its own app. Our comparison of Shopify helpdesk apps covers their order actions and pricing units.
Write the playbook and the service levels
Give the outsourced team this material before the first day:
- Saved answers. In Shopify Inbox, create quick replies under Settings > Quick replies, each with a one-word shortcut. In a helpdesk, the same job is done by macros.
- Policies in Settings > Policies, written so an agent can quote them word for word.
- An escalation rule: which messages come to you, how, and how fast.
- A service level. Shopify’s guide gives “resolving 80% of inquiries within 24 hours” as an example of an SLA. Pick a number the agency can keep and you can check.
- A satisfaction measure. Shopify names CSAT, a short survey after a conversation, as the way to find service gaps.
The first 30 days
Read a sample of conversations every few days: tone, accuracy, whether escalations reached you. Compare response times with the SLA. Add a quick reply or a policy line for every question the agency had to ask you about. After a month, decide whether to widen the scope, for example by adding evening chat.
For a single helper rather than an agency, see Shopify virtual assistant. If you would rather let AI take the out-of-hours chats, the Shopify customer service chatbot guide covers the Inbox agent. All our support guides are in the running a store hub.
Frequently asked questions
How much does it cost to outsource Shopify customer service? It depends on the model and the volume. Agencies charge per hour or agent, per ticket or conversation, or a monthly package; ask for quotes in two models for your busiest month and add the cost of helpdesk seats.
Can an outsourced team work in Shopify Inbox? Yes, with a staff account per agent and the permissions Shopify lists for Inbox: Products, Customers, Discounts and Draft orders. Your plan must have enough staff accounts; Basic includes none beyond the owner.
Should I outsource live chat? Outsourcing chat works when the answers are written down and the agency covers hours you cannot. Keep escalations and policy exceptions in-house, and check a sample of chats every week in the first month.
